The Rules Before the Scripts

Three rules keep you inside Google's guidelines. Ask every customer, not just the happy ones — filtering for positive reviews is review gating and it is a policy violation. Never offer incentives. Never write the review for them.

Beyond policy, the scripts below work because they are short, specific, and make the action easy. Long, apologetic requests convert worse than direct ones.

Timing Beats Wording

The single biggest factor is when you ask. Request a review while the customer still feels the result — right after a job is finished, an order arrives, or a visit ends. A week later, the feeling has faded and the request feels like homework.

For most businesses the window is 24 hours. For anything with a delivery, ask 24 to 48 hours after arrival so they have actually used the thing.

  • Service businesses: at completion, while you are still on site
  • Restaurants and retail: at the point of payment, or on the receipt
  • E-commerce: 24–48 hours after delivery
  • Professional services: at a milestone or project close
  • Healthcare and clinics: at checkout after a successful appointment

In-Person Scripts

In person converts best because it is hard to ignore a direct, friendly request. The key is to keep it brief and hand them something to act on.

Say it plainly: "If you were happy with today, would you mind leaving us a Google review? It genuinely helps a small business like ours." Then hand over a card with a QR code.

  • Short version: "Would you mind leaving us a Google review? It really helps us."
  • With reason: "We are trying to reach 100 reviews this year — would you leave one?"
  • Trades version: "If the work was up to standard, a Google review would mean a lot."
  • Always pair it with a QR code or card — words alone lose most people

Email Scripts

Keep it under 100 words. Subject lines that reference the specific job outperform generic ones.

Template: "Hi [Name] — thanks again for choosing us for [specific job]. If you have two minutes, we would really appreciate a Google review. It helps other people find us and tells us how we are doing. [Review link]. Thanks — [Your name]."

  • Subject: "How did we do with [specific job]?"
  • Subject: "Two minutes to help a local business?"
  • Put the link on its own line — do not bury it in a paragraph
  • Send from a person's name, not a no-reply address
  • One follow-up after five days is fine. Two is pestering.

SMS Scripts

Text has the highest response rate of any channel, and the lowest tolerance for length. Two sentences maximum, link included.

Template: "Hi [Name], thanks for choosing [Business] today. If you have a moment, a quick Google review would really help us: [link]"

  • Always identify the business — an unexplained link reads as spam
  • Shorten the link so it does not look suspicious
  • Send during business hours, never late evening
  • Never send more than one reminder by text

What to Do With the Reviews You Collect

Respond to every review that arrives — it signals an active business and encourages more. Then put the reviews somewhere they influence buying decisions.

Reviews sitting only on your Google profile are working at a fraction of their potential. On your website, at the point where a visitor decides whether to contact you, they do considerably more.

Frequently Asked Questions

Is it against Google policy to ask for reviews?

No. Asking is explicitly allowed. What is not allowed is offering incentives, asking only your happy customers, or discouraging negative reviews. Ask everyone, and let the experience determine the rating.

Can I offer a discount for leaving a review?

No. Incentivised reviews violate Google's policies and can result in reviews being removed or your profile being penalised. This includes discounts, entries into prize draws, and free items.

How many times can I follow up?

One follow-up is reasonable — around five days after the first request. Beyond that you risk annoying a customer who was otherwise happy. Persistence damages more relationships than it gains reviews.

Should I ask by email or text?

Text has a higher response rate, email allows more context. If you have mobile numbers and permission to use them, text usually wins. In-person requests paired with a QR code beat both.

What if a customer leaves a negative review after I asked?

That is the cost of asking everyone, and it is the correct approach. Respond professionally and publicly. A well-handled negative review is often more persuasive to future customers than another five-star rating.
